Overview

BlueCHP is a not-for-profit, Tier 1 Community Housing Provider (CHP) and Specialist Disability Accommodation (SDA) organisation that delivers social, affordable, and disability housing to over 2,000 people across eastern Australia. As their project portfolio grew in complexity and scale, BlueCHP recognised the need to transform its internal processes to support more efficient delivery.

In 2023, BlueCHP partnered with UniPhi, an award-winning Australian provider of cloud-based project and portfolio management software. UniPhi enables teams to manage contracts, budgets, risk, communications, and documents within a single platform. With live dashboards, seamless workflows, and mobile accessibility, UniPhi became the foundation for BlueCHP’s digital transformation.

 

Challenge

BlueCHP was previously managing its entire development program through spreadsheets and email chains. This approach left room for inconsistencies, version control issues, and a potential lack of visibility across critical financial and contractual data.

As the volume of projects increased, it became evident that these manual methods could no longer support the organisation’s goals. An integrated project development and management solution across all projects with informative management and board reporting was needed. The UniPhi software has provided a reliable system for the growth of the business, managing risk and efficiencies.

Solution

Since deploying UniPhi software, BlueCHP has transitioned all development activity into a unified, cloud-based system. Every single housing development is now managed within UniPhi, from early-stage opportunity assessment to contract close-out and final reporting. The system replaced fragmented tools and enabled a more controlled, accurate, and transparent workflow.

One of the key benefits has been the transformation of contract administration. UniPhi allows BlueCHP to break down construction contracts by trade, customise deliverables, and track progress in real time. All contractual data, including claims, variations and approvals, is managed within UniPhi, removing reliance on external spreadsheets. This has dramatically improved accuracy and reduced administrative burden.

BlueCHP also uses UniPhi to process invoice approvals. Each invoice is linked directly to the relevant contract, supplier, and project ID. Once approved in the system, it is processed and paid, with a clear digital trail from end to end. This structure has significantly improved financial accountability and removed guesswork.

Beyond contract and financial management, UniPhi supports BlueCHP’s opportunity tracking and revenue reporting. New projects are logged in the system from the outset, allowing management to assess feasibility, track potential investments, and avoid duplication. The revenue module provides clarity on funding inflows and how they’re being allocated across the portfolio.

A tailored development plan dashboard was also built specifically for BlueCHP’s board. This dashboard gives executives and decision-makers a real-time view of committed spend, housing outcomes, and approval pipelines. Rather than waiting on static reports, the board can now access detailed metrics on beds delivered, housing per sector, and project status, all through UniPhi.

Supporting BASIX Integration

In addition to day-to-day operations, BlueCHP required a seamless integration between UniPhi and BASIX, a compliance and financial platform widely used in the social housing sector. The highlight of this integration was that it was completed by the third-party software consultancy that owns the BASIX software, EMS Solutions, who collaborated with the UniPhi development team to utilise the REST API available to all our clients. EMS did a fantastic job and were great suppliers to work with.

The UniPhi team helped document the integration scope, ensuring a shared understanding between platforms. They provided technical guidance to the BASIX team, recommending configuration options that would minimise disruption to BlueCHP’s established processes. After go-live, UniPhi continued to support the transition by helping troubleshoot and refine the integration outcomes.

This collaboration ensured that data could flow between systems without compromising accuracy or causing duplicate entry, allowing BlueCHP to meet compliance requirements while retaining the full functionality of its UniPhi environment.

Outcome and Impact

The transformation has been tangible across the organisation. BlueCHP now has a single, reliable system to manage projects, budgets, and contracts. The shift away from spreadsheets has not only reduced errors but given staff greater confidence and visibility over their work.

With UniPhi, BlueCHP is able to process payments faster, track contractual commitments with clarity, and provide executive-level reporting without delays. The integration with BASIX further strengthens compliance and ensures that project data reflects real-time activity across platforms.
